Jobing Description
Works closely with the Project Manager to ensure all stages of jobs are completed in an accurate and timely manner from beginning to end and keeps abreast of each job to ensure a timely a smooth workflow from one stage to the next while keeping the Project Manager(s) updated on the status of each job.

Summary of Essential Job Functions:
Create new projects for estimates in Exactimate, including customer info. setting parameters, opening statements, sketches, and entering data from the Tick Sheets.
Ensures most current pricing list are loaded and being used at all times.
Meets Exactimate work timelines with uploads and that criteria rules are met with program work.
Reviews Xactanaylsis on a daily basis to ensure all claims are accepted and that no review with exception reports are being created for a specific claim.
Enters DR customer information into Chronicle accurately and in a timely manner.
Completes surveys and follows up with coordinators to gather the required information.
Ensures documents are all collected and scanned into the system within a timely manner.
Compiles all DR folders for techs with all required paperwork.
Completes MasterMoment files and ensures all journal notes are recorded Create job folders for ServiceMaster technicians and N.E.W production staff.
Updates activities on a daily basis.
Closes out each job upon completion of the claim.
Helps coordinators schedule DR and Residential jobs.
Reviews the calendar at the end of each day with the coordinator for approval to post for the technicians.
Prints work orders and invoices for technicians and any estimate orders for coordinators.
Assists the coordinators in updating calendars on a daily basis.
Sets up pack-outs for each unit and prints labels for each pack-out.
Links MSM to Xactimate for estimates.
Provides updates to units and maintenance to units as required.
Responsible for scheduling sub-contractors at the request of the coordinators and linking sub-contractors to jobs as job people and record any journal entries for the sub-contractors.
Compiles Job Costing, Job Hours and Billing Summaries for coordinators approval and ensures that final billings are within recommended billing rates.
Backs up the Front Desk Administrative Coordinator with answering phones when there is a high call volume or the Front Desk Admin. Coord. is out or away from the desk.

Skills / Requirements
Attendance and punctuality are of utmost importance. Ability to work under pressure, and deadlines while maintain a positive “can-do” attitude. Ability to multi-task and “switch gears” from one project to another. Must have strong organization and communication skills. Presents professional mannerisms when interacting and communicating with co-workers, vendors, adjusters, agents and customers.

High School Diploma, or equivalent GED, and 3 - 4 years experience in an administrative office position.
